Photos and documents can help a dealership understand a trade-in request, but uploads should be optional, safe, and easy to complete on a phone. The workflow should preserve vehicle context and make the next response clear.

Explain what to upload

Describe useful views, vehicle details, documents, formats, size limits, and sensitive information customers should not include. Do not require an image when a structured field or later conversation is enough.

Capture vehicle context first

Collect year, make, model, trim, mileage, VIN when appropriate, ownership context, condition summary, payoff or trade details, and contact permission. Keep uploads associated with the correct request.

Validate and scan files

Check type, size, filename, image dimensions, document content, malware risk, and duplicate uploads. Quarantine uncertain files and tell the customer whether the request was received even when a file needs review.

Protect privacy and access

Use secure transport, limited staff access, expiring links, retention rules, and a clear privacy explanation. Keep documents and images out of public URLs, emails, and unnecessary logs.

Set response expectations

Show whether the request is received, under review, needs more information, or is ready for a conversation. State that an upload does not create a final valuation or accepted offer.

Test mobile and measure quality

Test camera upload, slow connections, retries, invalid files, accessibility, duplicate submissions, provider failures, and staff handoff. Track valid requests, missing context, upload errors, review time, and qualified conversations.
