A review request email should arrive after a meaningful customer experience and make honest feedback easy. The message should be clear about why it is being sent, optional about participation, and connected to a process that stops when the customer has an unresolved problem or opts out.
Choose the right trigger
Use completed service, delivered project, resolved support, successful appointment, or another meaningful event. Do not send immediately after a complaint, cancellation, failed delivery, or open issue unless the customer has chosen to give feedback at that stage.
Use specific context
Reference the service or interaction the customer completed and who the business is asking them to review. Keep private details out of the subject and body unless the approved process requires them.
Make the request optional and honest
Invite an authentic review without asking for a preferred rating, hiding a public path, or using pressure. Offer a private contact for resolution without making it a gate the customer must pass before they can give feedback.
The review request process and response checklist cover timing and follow-up.
Use a clear link and fallback
Make the review destination recognizable, accessible, and usable on a phone. If the link fails, expires, or the customer cannot find the right profile, provide a support path and record the issue.
Respect preferences
Separate service messages from optional marketing, honor unsubscribe or channel preference, set frequency limits, and stop the sequence when the customer opts out or a new issue is active.
Make the email accessible
Use readable text, meaningful links, sufficient contrast, mobile spacing, plain-language subject, and an alternative to image-only instructions. Test screen reader, keyboard, and small-screen behavior.
Measure service quality
Track delivery, click, review, response theme, opt-out, complaint, and recovery outcomes where appropriate. Review the email alongside completed-service and customer support data.
