Non-emergency medical transportation is a coordination problem. The provider may need pickup and destination, appointment time, mobility support, vehicle type, rider or escort, authorization, service area, and return details before confirming a trip.
The website should clearly distinguish non-emergency requests from emergency services and route safety or eligibility questions to qualified staff.
Explain who the service is for
State service area, trip types, wheelchair or stretcher capability if offered, escorts, appointment, discharge, recurring, facility, and payment or authorization context. Explain what the provider does not handle.
Do not claim medical capability, eligibility, insurance coverage, or response time without current approved support.
Capture only the first dispatch context
A request may ask for rider contact, pickup, destination, date, appointment window, mobility equipment, escort, return, facility contact, communication preference, and authorization or referral information when required.
Keep health and identity information in an approved secure workflow. Do not put detailed medical information into general analytics or email.
Separate request from confirmed trip
Use requested, eligibility review, dispatch review, scheduled, confirmed, changed, cancelled, no-show, en route, completed, and unable to serve states. A form submission is not a confirmed ride.
Send pickup window, contact, preparation, cancellation, and change messages through the approved channel. Preserve a dispatcher and human contact path.
Connect routing and records
Relate rider, trip, vehicle, driver, facility, authorization, payment, and communication records with access controls and audit history. The route optimization guide covers the capacity layer, but dispatch must still review the individual trip.
Measure safe booking quality
Review request completeness, response time, eligibility declines, schedule changes, late pickups, no-shows, trip completion, cancellations, and privacy exceptions.
