A software vendor scorecard turns a vague product comparison into a decision the business can explain. It should reflect the work, data, risk, support model, and total ownership cost—not just the number of features in a demo.
Start with weighted outcomes
List the business outcomes and give higher weight to requirements that affect customer service, revenue, safety, data integrity, essential operations, or a hard deadline. Avoid letting a long list of low-value preferences dominate the result.
Score workflow fit
Test normal work, exceptions, approvals, handoffs, permissions, reporting, and recovery. Use the same scenarios with every vendor and record what requires configuration, workaround, custom work, or manual effort.
Evaluate data and integrations
Review source of truth, import, export, identifiers, matching, API or connector behavior, retries, reporting, and data ownership. A feature that cannot exchange the records the business needs may not be a fit.

Ask security and access questions
Document roles, authentication, logging, backups, environments, incident communication, provider access, retention, export, and deletion. Match the questions to the data and workflow instead of using a generic security score that nobody can interpret.
Compare implementation and support
Score migration, configuration, training, testing, launch, support hours, response, escalation, documentation, release communication, and who owns the system after implementation. A low license price can become expensive when the business must supply all operational work itself.
Calculate total ownership
Include subscription, setup, users, storage, usage, integrations, support, migration, custom work, training, internal administration, and exit. State assumptions and separate one-time and recurring costs.
Record uncertainty and decision
Keep evidence, unanswered questions, dependencies, score, reviewer, and decision owner. A vendor should be able to explain a low score or conditional result without turning the process into a sales debate.
