Inventory the information flow
List information collected through contact forms, quote requests, accounts, bookings, trade-ins, chat, newsletters, analytics, cookies, payments, and support tools. Note where it goes and who owns the process.

Explain purposes in plain language
Describe why each category of information is collected, such as responding to a request, scheduling a service, processing a transaction, improving the site, preventing abuse, or sending optional marketing.
Do not claim that information is never shared if vendors, processors, analytics services, hosting providers, or payment providers receive it as part of the actual operation.
Document choices and controls
Explain available choices, how a person can contact the business, how marketing preferences can change, and what happens when a request cannot be fulfilled. Keep instructions findable and current.
Review retention and access
Define who can access submissions, how long records are kept, when they are archived or deleted, and how access is removed when a staff member changes roles. Protect exports and shared inboxes as well as the website.

Keep the notice synchronized
Review the policy after adding a form, tracking tool, cookie, vendor, account feature, payment flow, or new business purpose. Keep the effective date and an owner visible in the change record.
