A quote status page gives a visitor a safe place to see whether a request was received, under review, waiting for information, answered, or closed. It can reduce repeated calls only when the state is accurate and the visitor can take the next action.

Define the state model

Use states such as received, queued, assigned, needs information, estimate ready, revised, accepted, declined, expired, and closed only when the team can maintain them. Explain what each state means and who owns the next step.

Protect access to the request

Require authentication or a safe, expiring reference tied to the intended contact. Do not make a guessable URL enough to reveal price, scope, files, or private messages. Revoke access when a request is closed or the contact changes.

Show a useful scope summary

Display service, request date, assumptions, missing information, attachments or references, and current response timing without exposing unnecessary personal or financial values. The scope summary checklist covers what the visitor needs to verify.

Give state-specific actions

Offer add information, ask a question, accept, request changes, cancel, schedule, download, or contact according to the state. Do not show an “accept” action when the estimate is only educational or still awaiting review.

Use the form success state checklist for the first acknowledgment and the confirmation page guide for the immediate next screen.

Keep notifications consistent

Send updates through the chosen channel, include a safe link, and explain what changed. Suppress redundant messages and do not place quote details in a subject line or public notification.

Make the page accessible and recoverable

Use readable status text, headings, keyboard-friendly controls, visible focus, mobile layout, and an alternate human path when the request cannot be found. Explain whether a change saved, is pending, or failed.

Measure status usefulness

Track status views, questions, updates, corrections, accepted quotes, cancellations, duplicate contacts, and support calls. Compare stale-state reports with staff records so the page improves the underlying workflow.
