Citation cleanup is the process of finding important business listings, deciding which information should be corrected, and documenting the outcome. It is more useful when it focuses on customer-facing accuracy and meaningful sources than on collecting a large number of directories.

Define the current business facts

Confirm public name, address or service-area model, phone, website, hours, categories, departments, services, and appointment path from an approved source. Decide which facts must be consistent and which may vary by location or department.

Inventory sources

Collect profile links, directories, industry sites, associations, social pages, old domains, duplicate listings, and internal references. Record source, URL, access, business facts, status, priority, owner, and evidence date.

Prioritize by customer impact

Fix sources with high visibility, wrong phone or address, duplicate ownership, misleading hours, broken website, incorrect category, or an active customer path first. Do not spend equal effort on a forgotten low-value listing.

The citation audit checklist and profile consistency checklist cover inventory and decision rules.

Handle duplicates and ownership

Document duplicate, closed, moved, unclaimed, merged, or incorrectly represented listings. Use each provider's approved process and keep a record of access, request, response, and next action.

Update the source of truth first

Correct the website, profile, or internal record that should control the fact before copying it across sources. Otherwise cleanup creates several versions of an answer that will drift again.

Verify after publication

Check the live listing, links, phone, hours, categories, photos, service descriptions, and customer actions after an update. Some providers delay or reject changes, so “submitted” is not the same as “correct.”

Monitor material changes

Review citations after a move, phone change, new service, department change, holiday schedule, provider update, or duplicate report. Keep the cleanup register current so the same research is not repeated from scratch.
